Job Summary: The Administrative Assistant II provides administrative support for the operations of unit.
Performs moderately complex and well documented administrative tasks.
Acts as office liaison/receptionist.
Receives and routes phone calls, emails, and/or guests.
Maintains files and enters data.
Drafts and sends communications on supervisor/departmental staff behalf.
Reconciles P-Card/Concur for other staff/faculty against departmental budget.
Performs some simple budget monitoring/entry.
Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Supports the Dean’s Office by providing administrative assistance to the Administrative Operations Coordinator and designated Directors within the Dean’s Office, including supporting special projects assigned by the Dean’s Office.
Oversees general office, administrative, and secretarial duties with some variety and complexity.
Acts as the main liaison to other offices within the University as well as external contacts.
Maintains budget records.
Arranges meetings, itineraries, and agendas.
Types a variety of material.
Compiles data.
Prepares reports.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Knowledge of personal computers and standard application software (Outlook, Word, Excel, PowerPoint).
High level of organization, ability to multitask and work independently to carry out tasks.
Good organizational, communication (written and verbal), and public relations skills.
Familiarity with survey and scheduling programs
Preferred Qualifications: Bachelor’s degree and two (2) years of administrative experience in higher education.
Experience with Banner, Concur, Microsoft Office Suite, and Qualtrics.
Experience with budgetary and purchasing responsibilities, which includes reconciling credit card statements in Concur and processing purchase orders in buyBAMA.
Familiar with UA's financial and purchasing policies and procedures.
